Our staff provides delivery and set-up 7:00 a.m. – 4:00 p.m. Monday - Friday. Events scheduled outside these hours will need to be coordinated with the Catering Coordinator in order to best plan for your event. If your event requires wait staff, they will be assigned to your event for set-up and will remain on-site throughout to maintain food and beverages at a rate of $30 per server, per hour. Staff will also be responsible for the food clean-up of your event. Please discuss your specific needs with your Catering Representative.
When initial arrangements are made for a catered function, the estimated number of guests to be served will be provided. The final guaranteed number of guests should be sent through CaterTrax or via email and is required no less than (3) business days prior to the date of the event. After this time, a guarantee cannot be decreased only increased. If the guarantee is increased less than (2) business days prior to the event, Catering reserves the right to make reasonable substitutions to the menu to accommodate the additional guests.
We suggest that your catering arrangements be made as early as possible. Catering should receive your menu at least two weeks prior to the event. However, we understand that some events may not be confirmed with this much advance notice. In these instances, please contact us as soon as your event is confirmed so that we may begin planning for your event. Orders placed less than 48 hours in advance will receive a 10.00 late fee. In addition, we cannot guarantee accommodation for short notice requests depending on staffing, and/or items might be substituted.
All orders should be placed online through the CaterTrax website or by emailing your Catering Coordinator. There will be no delivery fees unless the order is under 50 dollars. If the order is under 50 dollars there will be a 10.00 delivery fee added. Menus are priced per person and served buffet style for most items. For customized menus, prices are subject to change due to seasonal availability and market prices. For caterings prior to 7 a.m. a $10 service fee will be incurred. If you have an event after 4 p.m., arrangements must be made with the Catering Coordinator 2 weeks in advance and will incur overtime changes. These charges vary depending on how big the event is and other variables.
We know that at times you may need to cancel an event with short notice. Due to our advance preparation, complete cancellations within 48 hours will not incur any charges. Cancellations within 24 hours will incur a charge of 50% of the total, and less than 24 hours may incur the full cost. Your catering representative will be able to walk through any potential costs incurred at the time of the cancellation.

The catering staff is not responsible for reserving rooms, requesting tables, taking out trash or any other facilities related requests for events. The rooms are reserved by the individual responsible for planning the event. If there is not available space for food/beverage setup within the reserved space, the requestor will request tables from Facilities (x2525). When submitting your catering order, please include where the catering/food is supposed to be setup (inside or outside) of room, etc. under the “Special Instructions” section.
For the safety and well-being of our clients and guests, food and beverages are not permitted to leave the premises of a catered event. Requestors will designate the pick-up time/event end time when placing the order; however, per food safety guidelines, all catering orders must be picked up no later than 2 hours of being delivered. If there are concerns with this, contact the catering staff to discuss further.
It is the client's responsibility to notify the catering office of any food allergies when submitting the catering order. If that information is not known at this time, the client will need to contact the catering office no later than (3) business days prior to the event to update.
